Customer: Bass Coast Shire Council
Council wanted to replace their legacy costly-to-maintain intranet built on a third-party platform with a more cost-effective solution based on O365 + Powell Intranet. For streamlined intranet adoption by the employees, the Customer required retaining the look and feel of a new intranet in line with the legacy one.
We took iterative approach to solution development in allowing us to focus and update on even the smallest required feature.
The UI design approach for this Intranet was based around four key principals:
- Should reflect the Council’s branding and identity
- Easy to use and with the model of “2 click” approach
- One stop shop for all IT applications
- Consistency across all pages and sites
- Easy to use search functionality
Initially Prometix conducted series workshops and one on one meetings to come with the following:
- Information architecture & governance
- Permission model (with Office 365 groups)
- UI design using Modern Sites
- Features based on user requirements
Based on the outcome from the workshop, Prometix customised intranet for Bass Coast to include the following features:

Milestones | Anniversaries/Birthdays and others. Can pick up birthdays from AAD or could simply convert added data to cards. |
Farewells | Goodbyes and thanks to the employees |
Kudos | Let employees know they’ve done a good job by giving them kudos. |
Gamification | Let your employees receive badges for their efforts and provide a leader for each topic based on the points they receive for their efforts. |
Microsoft Stream | Share internal video messages, tutorial or walkthroughs via Microsoft Stream Channel. |
Polls | Create Polls and find out what the users like or require |
Flex Desk | Book desks in your office and see what spaces have been booked by employee by using the blueprint/layout of the office. Also, sends confirmation emails for bookings. |
My Profile | Displays user’s personal information as stored in the Azure Active Directory |
My Documents | Shows a list of documents access by the user based on priority |
My Saved News | Shows news that hasn’t been read by the user |
People Directory | Let’s you search for people within the organisation and shows data cards with the information stored on the AAD. Filters are available too. |
Navigation Search | Search on the menu bar. Let’s user search and toggle between documents, news, and people directory |
Create Content | A common area that lets user create content like news, advertisement, New Started etc. |
Classified ads | Let’s the user put up ads within the organisation |
Event Hub | Company events adaptive card allow your user to quickly have access to next event planed in the company and register to them if needed. |
Site Templates | Site Template Layouts can be created for a uniform feel and the same can be accessed by the user to create new subsites. |
Employee search | Search feature that shows employee details. You can filter employees based on division, job role and so on. |

With the assistance from Prometix, Bass Coast council project team conducted an Intranet naming competition among their staff to increase user engagement. Finally this intranet was named “TORI”.
